2. What data do we process?

We may process the following categories of data.

2.1 Contact and request data

When using ContractDecision, we may process data such as your name, email address, company name, request details, and communication with support.

2.2 Contract information

When you upload a supplier contract, we process the contents of that contract to generate the requested decision report.

This may include information about suppliers, contract terms, pricing, duration, liability, delivery obligations, termination, renewal, and other commercial contract provisions.

2.3 Payment data

Payments are processed through Stripe. ContractDecision does not receive or store full credit card details. We may process payment status, paid amount, selected product, email address, and payment references for administration and credit processing.

2.4 Technical and usage data

We may process limited technical data, such as website usage, form submissions, error logs, and service usage data.

3. Why do we use data?

We process data for the following purposes:

- to deliver the requested decision report;

- to process free and paid contract decisions;

- to manage decision credits;

- to process payments;

- to respond to support requests;

- to improve the service;

- to support administration, security, and troubleshooting;

- to comply with legal obligations.

4. Contract uploads

Uploaded contracts are used to generate the requested decision report.

The contract file is not stored permanently for commercial purposes. Limited report outcomes, request data, and administrative data may be used for processing, administration, quality control, and service improvement.

Contract information is not sold to third parties.

5. AI processing

ContractDecision uses AI technology to analyse contract information and generate business decision reports.

Your contract is not used for the purpose of training publicly available AI models. The processing is focused on delivering the report requested by you.

6. Sharing data with third parties

We only share data when necessary to provide the service, process payments, maintain security, support administration, or comply with legal obligations.

We may use service providers such as:

- Tally for form submissions;

- Make for automation;

- OpenAI for contract analysis;

- Stripe for payments;

- Google Workspace for email, storage, and administration;

- Framer for website hosting.

These parties process data only for the purposes for which they are engaged.

7. Retention periods

We do not retain personal data longer than necessary for the purpose for which it was collected, unless a legal obligation requires longer retention.

In practice, this means:

- contract files are not stored permanently after processing;

- report outcomes and request data may be retained for administration, support, quality control, and credit processing;

- payment data is retained as long as necessary for administration and legal obligations;

- support communication is retained as long as necessary to handle the request or issue.

8. Security

We take appropriate technical and organisational measures to protect data against unauthorised access, loss, misuse, or disclosure.

No digital system can guarantee complete security. We therefore limit processing to what is necessary and work with trusted service providers.

9. Your rights

Under the GDPR, you may have rights regarding your personal data, including the right to information, access, correction, deletion, restriction of processing, objection, and data portability.

We may ask for additional information to verify your identity before processing a request.
